Integration Objects recrute un Project Administrator/ Assistant

Job summary:

This position provides a wide variety of project and administrative support to the management team and project managers in Integration Objects. The candidate will perform a variety of tasks to support the project execution including document control, project schedule, procurement, reporting and administration.

Responsibilities:

  • Supports the Project Managers and key individuals in the ongoing projects in proactively coordinating project files, managing information flow, taking meeting minutes, meeting, workshop and event planning and calendar management,
  • Prepares reports, presentations, and or correspondence as required,
  • Provide office services support to project staff which includes, travel arrangements, conference bookings, meeting coordination and general administrative support as needed,
  • Receive, check, accurately record and distribute all project incoming and outgoing drawings and documentation in an efficient and expeditious manner as requested by engineers according to agreed Project and Corporate Procedures,
  • Ensure project documents are complete, current and filed appropriately,
  • Track submittal status and submit project documentation using transmittals,
  • Contribute to compilation of final project dossiers, as built portfolios and archiving,
  • Preparation of project notes, monthly reports, minutes of meetings and miscellaneous correspondence,
  • Be familiar with the contents of the Project Quality Plan, Project Procedures / department procedures and perform tasks required by them,
  • Depending on the responsibility assigned in the Project, be familiar with the requirements of the specific project schedule and hold regular discussions with Lead Engineers,
  • Obtain competitive and responsive quotation in a timely manner,
  • Evaluate all factors involved, recommend placement of orders, and negotiate lowest price and requested delivery,
  • Prepare and initiate Bid Tabulations and Purchase Orders for all items to be purchased,
  • Follow-up procurement orders and track the delivery of the material.

Exigences de l’emploi:

Requirements:

  • 1-2 years of experience in engineering environment,
  • Excellent computer skills, particularly in MS office (Word, Excel, Powerpoint, Outlook,),
  • Good interpersonal skills,
  • Ability to work in a multidisciplinary project team environment,
  • Ability to effectively communicate and work with all levels of personnel, clients and suppliers,
  • Strong learning ability and adaptability,
  • Attention to detail and problem solving skills,
  • Excellent written and verbal communication skills in French and English,
  • Strong organizational skills with the ability to multi-task,
  • Proven ability to work to demanding project schedules,
  • Ability to work well under pressure and deliver quality results on time.
