Production Coordinator – Tunisie

The Tunis Production Coordinator will be responsible for assisting the Production Manager, Series Producer and Tunis Creative Team in project planning and execution and delivering transmission material for playout / uploading and to be aware of all delivery deadlines.
They will also assist in planning and smooth running of team training.

Main Duties:
Attend production meetings; be across all current productions and be aware of the schedules for the entire team.
Be responsible for the upkeep of the Ija inbox ‘production grid’ making sure that the Series producer/Production Manager has signed off on each stage of each project and keeping records of each stage of the production such as agreed editorial specifications and edit scripts etc.
Be responsible for the upkeep of the BBCMA/TTV series production grid
Be aware of production, Production manager and series producer priorities and allocating resources accordingly
Make sure that all filming/production activities are covered by relevant risk assessment and keeping an electronic record of these in a production file. Making sure that all relevant team members are aware of risk assessments.
Coordinating booking of equipment according to production priorities
Keeping a production file of all documents relating to each episode /project this includes all consent forms and records of on camera consent
Keep an up to date contacts file
Draft up (with producers) and distribute schedules, or call sheets;
Make sure that the production office has all the necessary supplies;
Type, edit, copy and distribute scripts and other production documents
Making schedules, shot lists, logs and other paperwork for post-production
Act as main point of contact and liaise with Freelancers
Organise travel arrangements for cast, crew and production
Organise accommodation for team and crew
Work on location shoots – carrying out support tasks such as making sure batteries are charged and kit is in the right place. It may occasionally be necessary to assist on the shoot in other ways such as recording sound.
Book external crew
Translating short documents and acting as translator for the team when necessary.
Booking translators as necessary eg for transcripts and longer documents.
Assist Production team, sometimes running errands for them;
Run errands between the production office and other departments;
Deal with accounts and expenses;
Sort out enquiries and other paperwork;
Set up relevant travel insurance cover and help with visas and permits for team and freelancers. Managing filming permits.
Work with external suppliers
Being aware of budgets (working with Project manager and Production manager -collating relevant statistical data and keep cost and logistics spreadsheets)
Strategic Planning, Decision Making & Working Hours
A high level of production and planning ability is required both in terms of production workflow and budget management and allocations.

This full-time role is mainly office based but the successful applicant will be expected to take part in location shoots as required. There will be some out of office hours work including dealing with shoot emergencies.
Essential Knowledge, Skills and Experience
Relevant higher education in media, management or any other related field.
Proven experience of working as a Production Co-ordinator, prefereably in media environment
Experience of devising and refining detailed administrative procedures
Experience of maintaining and updating budgets
Experience of managing location production shoots
Experience of setting up and attending film and digital format-based shoots
Experience of booking audio and edit suites / talent/ filming crew
Familiarity with broadcast standard equipment and post production procedures.
Ability to prioritise a conflicting workload efficiently whilst maintaining accuracy and attention to detail when working to deadlines
Ability to use proficiently a range of software packages including Word, Excel, Outlook and the aptitude to learn new software packages where required
Experience of maintaining office systems and following administrative procedures, and of devising new systems where appropriate
The ability to handle confidential information with tact and sensitivity
Interpersonal and communication skills sufficient to establish and maintain effective working relations with a wide range of internal and external contacts, and the ability to deal with contacts with tact and sensitivity
Ability to work independently and as an integral part of a team
Resilience and stamina to sustain performance when under pressure from a high volume of work and conflicting priorities
